The business

A Pilates and physiotherapy studio in Sydney running classes, session packs and appointments. The owner needed to see how the studio was doing without pulling numbers from several places, and wanted clients reminded and welcomed without anyone doing it by hand.

The problem

Class bookings, attendance and pack balances sat in separate systems, so a simple question about the week meant lining them up by hand. Renewals depended on someone noticing a client was running low on sessions. Appointment reminders and welcome messages were sent manually.

What was built

  • Owner dashboard

A secure data feed that brings class bookings, attendance and pack balances into one dashboard, giving the owner a single view of the business.

  • Pack monitoring

Sends one renewal reminder when a client runs low on sessions. Running the check again does not send it again.

  • Client messaging

Automated SMS appointment reminders and onboarding messages, with duplicate checks tested so no client gets the same message twice.

What it does for the owner now

  • The owner has one view of the business instead of several systems to line up.
  • Clients running low on sessions get one renewal reminder, at the right time.
  • Appointment reminders and welcome messages go out on their own, and never twice.
